Valentines.com Sellers Configuration Guide

Welcome

Welcome to Valentines.com!

We curate artisanal chocolates for customers all across the United States. Due to our domain name, we generate a substantial amount of traffic leading up to Valentine’s Day. We capture this seasonal traffic by converting visitors into orders and will continue marketing to them throughout the year.

This guide is designed to help you set up your store quickly and easily. Please follow the steps outlined below. If you have any questions, feel free to reach out using the ‘Contact Us’ information at the end of this guide.


Setting up Your Profile

Update all the fields under Profile > My Account. Once your profile is approved, your shop will appear on our site.

Key Fields to Update:

  • Store Address: Used for shipping information.
  • Seller Contact: A phone number. This will not be displayed on your profile page.
  • Short Description: A tagline or slogan for your shop. This appears under your logo on your profile page.
  • Long Description: A detailed description under the ‘Description’ tab on your profile page.
  • Seller Policy: See the “Seller Policy” section below.
  • Store Banner Image: The banner on your profile page, such as a nice shot of your store.
  • Seller Profile: A profile image, preferably of the spokesperson for your shop.
  • Shop Logo: Used in your profile and in the shops listing.

After submitting these details, we will review your store and notify you via email once approved.


Seller Policy

Clearly communicate your shipping and return policies to customers by updating them in your profile.

Note: Expect last-minute orders, especially the day before Valentine’s Day.

Example Seller Policy: - Shipping Policy: Orders received by 3 pm Eastern are shipped the same day. Orders placed after 3 pm will be shipped the next working day. We do not process shipments on Mondays.

  • Return Policy: We aim for 100% customer satisfaction. If you’re not completely satisfied, contact us, and we’ll make it right!

Product Listings

Valentines.com seeks sellers who craft unique chocolate products for our customers.

We recommend adding 3-5 offerings to your store. To do this: - Go to Products > Products Listing and click + Add Product.

Key Notes for Adding Products:

  • Choose Product: Leave as “Normal Product.”
  • Description: Be sure to add ingredients list here, and specify allergy information.
  • Collections: Select “Chocolate.”
  • Compare at Price: Use this for your regular price if offering a sale. Enter the sale price under Price.
  • Track Inventory: Enable this option and enter the number of products you’ve allocated for Valentines.com.

All new products will be reviewed by our team.


Configuring Shipping

We support two shipping methods for sellers: Free Shipping and ShipStation (UPS).

Free Shipping

For sellers who want to simplify the buying process for customers, free shipping is recommended. (Currently available only in the continental 48 states.)

Steps to Configure Free Shipping: 1. Navigate to Configuration > Shipping Methods and enable ‘Free Shipping.’ 2. For each product: - Go to Product > Shipping Details and select ‘Free Shipping.’ - Update/Create Variants to handle multiple shipping options. - Example: Set ‘Default’ to ‘Standard Shipping (3-5 days)’ and create a variant for ‘Express Shipping (1-2 days)’ with appropriate pricing. 3. Ensure your pricing covers shipping costs.


ShipStation (UPS)

For sellers who want customers to choose their shipping method, Valentines.com offers real-time UPS pricing via ShipStation.

Steps to Configure ShipStation Shipping: 1. Navigate to Configuration > Shipping Methods and enable ‘ShipStation Shipping.’ 2. Go to Configuration > Shipping Methods > Global Configuration: - Enter default product dimensions and weight. - If using rectangular boxes, calculate “Girth” as: Girth = 2 × (Width + Height). 3. For each product: - Go to Product > Shipping Details and select ‘ShipStation.’ - Specify shipping details (weight and dimensions) for variants, if different from defaults.

At checkout, customers can select a shipping option, and the associated cost will be added to their total. Valentines.com collects this fee, purchases the UPS shipping label, and sends it to you.


Fulfillment

When orders are placed, you’ll receive an email with the subject “Order Placed.”

Steps to Fulfill Orders: 1. Log in to your portal. 2. Navigate to Orders > Order Listings to view pending orders. 3. Once an order is fulfilled, mark it as “Fulfilled.” 4. For products using ‘ShipStation Shipping,’ you can fulfill the order using ShipStation. You can then print a label to be used for your package. Note the portal will ask you to confirm an amount (usually $0.00) to be deducted from your earnings. You may choose to fulfill an order using a different method than the one the customer selected (E.g., Express instead of Standard). In this case, the amount to be deducted from your earnings will be non-zero.


Financials

Sales Tax

If your business is located in the following states, Valentines.com will collect and remit sales tax on your behalf: - California - New Jersey

For sellers outside these states, please contact us. We’ll either establish nexus in your state (to handle sales tax) or provide specific instructions for compliance.


Fees

The following fees apply per transaction: - Commission: 15% of the product price. - Shipping Fee: For ‘ShipStation Shipping,’ charged to the customer. - Sales Tax: For states listed above, charged to the customer. - Transaction Fee: 2.7% + $0.30 per transaction (credit card processing).


Disbursement

Disbursements are made weekly for accounts with a balance over $100. Ensure your payment details are up-to-date under Profile > Payment Details.
